Conference/Meetings - Room Layout & Description

Garden City Motel has two conference rooms for your convenience - The Banksia Room and the Boronia Room.

The Banksia and Boronia Rooms both have natural lighting with full blackout available. The lighting and climate control air conditioning is also fully adjustable making the Garden City Motel the perfect venue for your next meeting, conference or seminar.

Organising a Successful Function

If you are in charge of organising a Function or Event whether it be a small Wedding Ceremony or a Themed Gala Dinner the key is excellent organisation. Give yourself plenty of time to plan and book in advance the Venue that exactly suits your needs.

The first step is to make a general outline of the requirements of the function as set out below:

• Who will be attending
  
• Approximate numbers of guests
  
• Approximate budget per person
  
• Will you require entertainment
  
• What kind of atmosphere needs to be achieved.

With this information the Functions Managers from Garden City Motel will be able to put together a proposal based on your requirements. Garden City Motel is flexible to your needs and you should feel comfortable and confident they will make your event special and unique. Take extra care over Food and Beverage selection, it is one of the most important aspects of the night and the one all your guests will remember and talk about. The coordinator of your Function should also be able to assist you with entertainment, decorations and theming requirements to complete the whole package.

Send out invitations, making sure the RSVP date is approximately 2 weeks before the function so you have plenty of time to finalise menus and numbers with us.

One month or so before the event you should set a meeting with the Function Coordinator to go through everything in detail. You should have decided on a final menu for this meeting and as a result of the meeting you should receive a contract or Running Sheet which lays out all the specific times, menus and costs of the event.

In the week leading up to your function we will expect final numbers to be charged and full payment for the function. Make sure if you have any last minute changes to be made we hear about them as soon as possible.

The last point to remember is to relax and enjoy yourself, because we are here to take care of everything!
